The type of personal information we collect

We currently collect and process the following information:

  • Contact details including: names, postal addresses, e-mail addresses and telephone numbers of potential clients, clients, and all individuals authorised to act in the completion of the client’s project.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you to enable us to propose and undertake ecological contracts.

We might also receive personal information indirectly from architects, project managers, development companies or other contractors you may have instructed to complete development projects and who have proposed sub-contracting ecological work to us.

We use the information that you have given us in order to: obtain details of the proposed development work, understand the required ecological tasks, submit quotations, request information, make appropriate work arrangements, submit reports and invoices and provide related ecological advice.

We may share this information with other organisations or individuals who need to be engaged in completing the required ecological work.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • We have a contractual obligation.
  • We have a legitimate interest.


How we store your personal information

Your information is securely stored in telephone and computer equipment and associated storage media.

We keep contact details until all aspects of all contracts, including invoice payment, have been completed. We will then dispose your information by removing contact details from documents, files and contact lists.

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
